How SmartGmailAI handles your data — clearly and honestly.

1. Overview

The short version: SmartGmailAI never stores your emails. Your email content is sent to our AI provider in real-time only to generate suggestions, then immediately discarded. We do not sell, share, or use your data for advertising.

SmartGmailAI ("we", "our", or "us") operates the SmartGmailAI Chrome extension and the website at smartgmailai.com. This Privacy Policy explains what information we collect, how we use it, and your rights regarding your data.

By installing or using SmartGmailAI, you agree to this Privacy Policy. If you do not agree, please uninstall the extension and discontinue use of our services.

2. What Data We Collect

Email Content (Temporary, Real-Time Only)

When you use AI autocomplete or reply generation, the text of your email (including the subject line and body) is sent to our AI provider (OpenAI) to generate suggestions. This data is:

  • Processed in real-time and never stored on our servers
  • Never logged, saved, or retained after the response is returned
  • Never used to train AI models
  • Never shared with third parties for any purpose other than generating the AI response

Extension Preferences (Local Storage)

We store the following in your browser's local Chrome storage — not on our servers:

  • Your preferred default tone (Professional, Friendly, Concise, Persuasive)
  • Your selected AI model preference
  • Extension on/off state
  • Daily usage count (for free tier limit tracking)

What We Do NOT Collect

  • Your name, email address, or any personally identifiable information
  • Your Gmail login credentials or account details
  • Your browsing history or activity outside Gmail
  • Payment information (handled entirely by Stripe)
  • Any data from websites other than mail.google.com

3. How We Use Your Data

The only purpose for which email content is processed is to generate AI writing suggestions directly requested by you. Specifically:

  • Inline autocomplete suggestions as you type
  • Full reply generation when you click "Generate Reply"
  • Tone rewrites when you click a tone control button

We do not use your data for advertising, analytics, profiling, or any purpose unrelated to the core functionality of the extension.

4. Third-Party Services

OpenAI

Email text is sent to OpenAI's API to generate AI completions. OpenAI processes this data according to their Privacy Policy. We use OpenAI's API with data retention disabled where available.

Stripe (Payments)

If you upgrade to Pro, payments are processed by Stripe. We never see or store your payment card details. Stripe's Privacy Policy applies to all payment transactions.

Hostinger (Hosting)

Our website is hosted on Hostinger. Standard web server logs (IP address, browser type, page visited) may be collected by Hostinger per their privacy policy.

5. Data Security

All data transmitted between the extension, our servers, and OpenAI is encrypted using industry-standard TLS/HTTPS encryption. Your API key (if you use your own) is stored only in your browser's local Chrome sync storage and is never transmitted to our servers.

6. Your Rights

Since we do not store personally identifiable data on our servers, there is nothing to delete or export. However, you have the right to:

  • Uninstall the extension at any time to stop all data processing
  • Clear your local extension preferences via Chrome's extension settings
  • Contact us with any privacy-related questions or concerns
  • Request information about what data (if any) we hold about you

If you are located in the European Union, you have additional rights under the GDPR including the right to access, rectify, and erase your data. Contact us at privacy@smartgmailai.com to exercise these rights.

7. Children's Privacy

SmartGmailAI is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us immediately.

8. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. We encourage you to review this policy periodically. Continued use of the extension after changes constitutes acceptance of the updated policy.
